Connect HubSpot

Connect your HubSpot account to see which deals your AI agents work on. SuperOrgs only reads. It never changes anything in HubSpot.

Read onlyOne way: HubSpot to SuperOrgsSyncs nightly

What it does

SuperOrgs copies your deals, contacts, companies, and the dates of logged emails, calls and meetings from HubSpot. It then shows, on the Deals tab, which deals your agents worked on, your won and open deals, and renewals coming up. Data only flows one way, from HubSpot to SuperOrgs, and only your organization sees it.

Before you start

You need:

  • A SuperOrgs role that can add integrations. Of the built-in roles, only Admin can. Everyone else sees the Connect HubSpot button turned off, with a Copy link button to send the page to an admin.
  • A HubSpot user who can install apps: a Super Admin, or a user with the App Marketplace access permission.
  • The Deals tab, under ROI in SuperOrgs. If you don't see the Deals tab or the Connect HubSpot button, email integrations@superorgs.com.
  • One HubSpot account per SuperOrgs organization. If another CRM is connected, disconnect it first.

Connect

It takes about two minutes.

  1. 1

    Open the Deals tab

Sign in at app.superorgs.com. Open ROI in the sidebar, then the Deals tab.
  2. 2

    Click Connect HubSpot

The card says what SuperOrgs reads. Open What we read to see the list. SuperOrgs sends you to HubSpot.
  3. 3

    Choose your HubSpot account

If you belong to more than one HubSpot account, HubSpot asks which one to connect. Pick the account that holds your deals.
  4. 4

    Approve the permissions

HubSpot lists what SuperOrgs asks for. Every permission is read only. Approve them to connect the app. If you cancel here, nothing is connected.
  5. 5

    Wait for the first read

HubSpot sends you back to the Deals tab, and SuperOrgs starts reading your account right away. This usually takes a few minutes.

If the Deals tab shows a message instead:

HubSpot did not connect
The person approving needs to be a HubSpot Super Admin (or have App Marketplace access) and a SuperOrgs admin. Ask someone who is both, or click Copy link and send them the page.
Another CRM is connected
Your organization can have one CRM at a time. Disconnect the other one first, then connect HubSpot.
Still deleting your old HubSpot data
A disconnect is still finishing. Try again in a few minutes.

Connecting a different HubSpot account later replaces the old one. SuperOrgs deletes what it read from the old account.

Set up

When the first read has found activity, SuperOrgs opens a short sheet called Check our guesses. It asks up to three questions and takes about a minute. Click Confirm all to save your answers, or Skip for now: skipped questions wait in your To do list. Only people who can edit integrations (Admin, of the built-in roles) can answer.

  1. 1

    Which HubSpot users are agents?

SuperOrgs lists the HubSpot users who have activity and picks its guess for each one: one of your agents, or Person. Change any that are wrong. The emails, calls and meetings of a user you link to an agent count as that agent's work. Users with no activity are folded under Show more.
  2. 2

    Which deals are renewals?

Choose deals marked with a deal type, deals in one pipeline, or We don't track renewals. Your answer fills the Renewals list, which shows renewals that close in the next 90 days.
  3. 3

    Which pipelines are sales?

Asked only when your HubSpot account has two or more deal pipelines. Every pipeline starts ticked. Untick the ones that are not sales, such as hiring. Only deals in sales pipelines count, so at least one must stay ticked.

To change an answer later, click HubSpot settings on the Deals tab. Settings also hold your pipelines, the connection and sync, and Sales revenue: if a department is linked to Sales, HubSpot fills in its New revenue each month. HubSpot only fills empty months, so numbers your team typed stay.

Use it

The Deals tab shows your Won, Open, and Renewals lists. SuperOrgs links a deal to an agent when the agent's recorded work names a contact's email address, a company's domain, or a link to the HubSpot record. Emails, calls and meetings logged by a HubSpot user you linked to an agent also count as that agent's work. There is nothing to run by hand. The nightly sync keeps it current.

What we read

SuperOrgs reads from HubSpot and never writes to it. Nothing moves from SuperOrgs to HubSpot.

HubSpot to SuperOrgs, read only
DealsName, amount and currency, pipeline and stage, close date, created date, owner, deal type, and the contacts and companies linked to each deal. Also your deal pipelines, their stages, and your deal type options.
ContactsFirst and last name, email addresses, and linked companies. Each email address is turned into a one-way code (a hash) and only the code is kept, never the address itself. We use it to match your agents' work to contacts.
CompaniesName and website domains.
Users (owners)First and last name of the HubSpot users who own deals and activity. No email addresses.
Emails, calls and meetingsOnly when each one happened, its owner, when it was last changed, and the records it is linked to. For meetings, also the outcome, so cancelled meetings and no-shows are skipped. Never the subject, body, notes, or recording.
Account detailsYour HubSpot account ID, currency, and time zone, so amounts and close dates read correctly.
Permissions SuperOrgs asks HubSpot for
oauthLets you connect with your HubSpot sign-in, without sharing a password.
crm.objects.deals.readRead deals, pipelines, and deal types.
crm.objects.contacts.readRead contacts and the activity logged on them.
crm.objects.companies.readRead companies and their domains.
crm.objects.owners.readRead the names of the HubSpot users who own deals and activity.
sales-email-readHubSpot requires it to list logged emails. SuperOrgs reads only when each email happened and who owns it, never the subject or body.

SuperOrgs keeps the last 12 months. Open deals stay. Each night, closed deals, contacts and activity older than that are cleared out, unless an agent's work is linked to them.

How often it syncs

The first read starts as soon as you connect. After that, SuperOrgs syncs every night at 05:25 UTC and reads only what changed in HubSpot since the last sync. To sync sooner, open HubSpot settings and click Sync now. You can do this once every 10 minutes, and it needs a SuperOrgs role that can sync integrations (Admin, of the built-in roles).

Disconnect

Disconnect in SuperOrgs to stop syncing and delete everything SuperOrgs copied from HubSpot.

  1. 1

    Open HubSpot settings

On the Deals tab, click HubSpot settings.
  2. 2

    Click Disconnect HubSpot

It is the last card in the settings. You need a SuperOrgs role that can delete integrations. Of the built-in roles, only Admin can.
  3. 3

    Confirm

SuperOrgs shows what it will delete. Click Disconnect and delete. It usually finishes in under a minute.

What happens:

  • The deals, contacts, companies and activity SuperOrgs copied from HubSpot are deleted.
  • Your answers about which HubSpot users are agents, and the deal pages you saved, are deleted.
  • Sales revenue that HubSpot filled in is removed. Numbers your team typed stay.
  • Reports already sent keep their figures.
  • SuperOrgs gives up its access to your HubSpot account. If that step fails, SuperOrgs tells you, and you can uninstall the app in HubSpot yourself.
  • Nothing changes in HubSpot.

Uninstall from HubSpot

You can also remove SuperOrgs from the HubSpot side. HubSpot explains it in Connect apps to HubSpot:

  1. 1

    Open HubSpot settings

In HubSpot, click the settings icon in the top navigation bar.
  2. 2

    Go to Connected Apps

In the left sidebar, go to Integrations, then Connected Apps.
  3. 3

    Uninstall SuperOrgs

Click Actions on SuperOrgs, then Uninstall. Type uninstall in the box and click Uninstall.

After you uninstall, SuperOrgs can no longer read HubSpot. At the next sync, the Deals tab says Lost access to HubSpot, with the date of the last good sync and a Reconnect button. The data SuperOrgs already copied stays, and the figures from that date keep showing, until an admin clicks Disconnect HubSpot in SuperOrgs, which deletes it. To remove your data too, disconnect in SuperOrgs, before or after uninstalling.
